If your business runs on appointments (a clinic, salon, spa, repair shop, tutoring centre, consultant or rental), your booking process is your front door. When it depends on phone calls and chat messages, three things happen:

  • Customers who contact you after hours book somewhere else.
  • Staff spend hours a day answering "Are you free on Thursday?"
  • No-shows leave empty slots you can't refill in time.

Must-have features

Every good booking system should have these:

  1. Real-time availability. Customers only see open slots, per staff member and per service.
  2. Service length and buffers. A 60-minute treatment plus 15 minutes of clean-up shouldn't be bookable back-to-back.
  3. Automatic confirmations and reminders by email and/or SMS. Reminders are one of the simplest, most effective ways to reduce no-shows.
  4. Easy rescheduling and cancellation with your rules, for example "cancel free up to 24 hours before."
  5. Mobile-friendly booking. Most customers will book from their phone.
  6. A staff view. Each person sees their own day; the owner sees everything.
  7. Customer records. Contact details and visit history, so you can recognise returning customers.

Nice-to-have features (add when you need them)

  • Deposits or full prepayment to protect high-value or frequently-missed slots
  • Packages and memberships (for example, 10 sessions)
  • Waitlists that offer cancelled slots to the next person
  • Intake forms before the first visit
  • Multiple branches with their own staff and schedules
  • Reports: revenue by service, busiest hours, no-show rate
  • Integration with your accounting software, CRM or website

Deposits: the no-show fix most businesses overlook

Reminders help, but a small deposit changes behaviour: people who have paid something are more likely to show up or cancel properly. A common approach:

  • Ask for a deposit only on long or high-value services, or for first-time customers.
  • Make the cancellation policy clear at checkout.
  • Automatically apply the deposit to the final bill.

A booking system can take the deposit through a payment provider at the moment of booking, with no chasing required.

Protect your customers' data

A booking system stores names, phone numbers and sometimes health or personal notes. Take this seriously:

  • Only collect what you actually need.
  • Make sure staff only see what their role requires.
  • Use a provider or developer that stores data securely and backs it up.
  • Follow your local privacy law. In the Philippines, for example, that's the Data Privacy Act of 2012.

Ready-made tool or custom system?

Start with a ready-made booking tool if:

  • You have a standard appointment flow (pick service → pick staff → pick time → pay).
  • You're a small team and want to start this week.
  • A monthly subscription fits your budget.

Consider a custom system if:

  • You have several branches or many staff, and subscription costs keep rising.
  • You need it to connect tightly with systems you already use.

  1. List your services with length, price, buffer time and which staff can do each one.

  5. Promote the link everywhere: your website, social media profiles, chat auto-replies, receipts and a QR code at the counter.
