Somewhere in your inbox is a lead who said "sounds great, let me think about it"… and never heard from you again.
It's not that you didn't care. It's that the follow-up lived in your head, a sticky note, or row 214 of a spreadsheet. That's the real job of a CRM: it remembers every customer and every promised follow-up so you don't have to.
I build custom CRMs for a living, so you might expect me to tell you to build one. I won't, at least not yet. For most small businesses, an off-the-shelf CRM is the right first step. This guide will help you pick the right one in about ten minutes, with real prices and none of the marketing fog.

The 6 CRMs, reviewed
HubSpot
The friendliest free starting point, with the steepest price jumps later.
- Best for
- First-time CRM users, solo founders and small teams who also want marketing tools.
- Pricing
- Free $0. Starter $7/seat/month billed annually (new-customer promo when checked) or $20/seat/month monthly. Sales Hub Professional $90/seat/month annually ($100 monthly).
- Free plan / trial
- Free forever for up to 2 users and 1,000 contacts. No credit card required.
- Watch out for
- Sales Hub Professional needs a one-time $1,500 onboarding fee (Enterprise: $3,500). Promo prices are for new customers.
- Very easy to start, with no card needed for the free plan
- Sales, marketing and service tools on one platform
- Huge library of integrations and learning material
- The jump from Starter to Professional is large
- Required onboarding fees on higher tiers
- Promo pricing can make budgeting confusing
Verdict: Start here if you've never used a CRM. Just do the math on Professional before your team depends on features that only live there.
Zoho CRM
Serious features at small-business prices.
- Best for
- Small teams on a budget who still want automation, custom fields and room to grow.
- Pricing
- Standard $14, Professional $23, Enterprise $40, Ultimate $52 per user/month billed annually. Yearly billing saves up to 34% vs monthly.
- Free plan / trial
- Free edition for up to 3 users, forever.
- Watch out for
- So many options can overwhelm first-time users. Prices vary by region and exclude local taxes.
- Generous free plan for 3 users
- Low entry price for a full-featured CRM
- Part of a large suite (email, books, desk) if you want one vendor
- The interface takes longer to learn than simpler tools

Verdict: The best balance of price and power for most small teams willing to spend an afternoon on setup.
Pipedrive
A sales pipeline you can see, drag and actually keep up to date.
- Best for
- Teams whose day revolves around moving deals from "new lead" to "won".
- Pricing
- Lite $14, Growth $39, Ultimate $79 per seat/month billed annually (Premium sits between Growth and Ultimate). Annual billing saves up to 26% vs monthly.
- Free plan / trial
- No free plan. 14-day free trial, no credit card needed.

- Visual, drag-and-drop pipeline that's easy to adopt
- Focused on selling, with little clutter
- Clear trial with no card required
- No free plan
- Less built-in marketing than all-in-one suites
- Add-ons can raise the real cost
Verdict: If "what's the status of that deal?" is the question you ask most, Pipedrive answers it best.
Freshsales
The lowest paid entry point on this list.
- Best for
- Price-sensitive small teams that want built-in phone and email tools.
- Pricing
- Growth $9, Pro $39, Enterprise $59 per user/month billed annually (about 20% cheaper than monthly).

- Very low starting price per user
- Built-in email, phone and chat features
- Clean, modern interface
- No free forever plan
- Key automation lives in higher tiers
Verdict: A strong low-cost pick if the Growth plan covers what you need. Confirm that during the trial.
Salesforce Starter Suite
A small-business door into the world's best-known CRM platform.
- Best for
- Ambitious teams that expect to grow and want to avoid switching platforms later.
- Pricing
- Starter Suite $25/user/month (also €25, £20, AU$35), billed monthly or annually. Pro Suite $100/user/month, billed annually with a contract.
- Free plan / trial
- A free option is advertised on the pricing page, plus free trials on paid suites.
- Watch out for
- Pro Suite requires an annual contract. The platform is powerful but can get complex (and costly) as you customize it.
- Scales from a small team to a large enterprise
- Huge ecosystem of apps, partners and talent
- Local-currency pricing for Europe, the UK and Australia
- Costs climb quickly as you add suites and features
- Setup and admin can require specialist help
Verdict: Pick it for the long game. If you just need to stop losing follow-ups next week, a simpler tool is faster.
Bitrix24
One flat price for the whole team, with CRM, tasks and chat included.
- Best for
- Teams of 5–50+ who don't want per-seat bills, and businesses that also want tasks, chat and projects in one place.
- Pricing
- Basic $49/month (annual) or $69 monthly for 5 users. Standard $99/month (annual) or $144 monthly for 50 users. Professional $199/month (annual) or $289 monthly for 100 users.
- Free plan / trial
- Free plan for 1–2 users (5 GB storage, basic CRM).
- Watch out for
- It does a lot, and the interface can feel busy if you only need a CRM.
- Flat pricing gets very cheap per person on bigger teams
- CRM, tasks, calendars, chat and video calls in one tool
- Free plan to test the basics
- Can feel cluttered for simple sales needs
- A learning curve for the many features you may never use
Verdict: The math wins once your team passes about 5 people, especially if you'd otherwise pay for separate chat and task tools.
What a CRM really costs: a 5-person team example
Sticker prices are per seat, per month, so multiply before you fall in love. Here's the monthly bill for a 5-person team on annual billing, using the prices above:
| Option | Monthly cost for 5 users | Notes |
|---|---|---|
| Freshsales Growth | $45 | 5 × $9 |
| Bitrix24 Basic | $49 | Flat, includes 5 users |
| Zoho CRM Standard | $70 | 5 × $14 |
| Salesforce Starter Suite | $125 | 5 × $25 |
| Pipedrive Growth | $195 | 5 × $39 |
| HubSpot Sales Hub Professional | $450 | 5 × $90, plus $1,500 one-time onboarding (about $6,900 in year one) |
Before tax. HubSpot's Starter promo ($7/seat) would be $35/month, but it's a new-customer price, so check what it renews at.
What actually matters when choosing
Forget the 200-feature comparison charts. For a small business, these six questions decide it:
- Will my team use it daily? Adoption beats features. Try it with real work during the trial.
- What does it cost at my size in a year? Multiply seats, include add-ons and onboarding fees, and check the renewal price.
- Does it connect to what I already use? Email (Gmail or Outlook), calendar, website forms, accounting and your phone system.
- Can I get my data out? Make sure you can export contacts and deals if you ever switch.
- Does it work on a phone? If your team is on the road, the mobile app matters more than the dashboard.
- Does it handle privacy properly? See the next section, especially if you sell to Europe or California.
Privacy: the part most guides skip
A CRM is a database of people, and that comes with legal responsibilities:
- Europe (GDPR): GDPR applies to EU businesses and to businesses outside the EU that offer goods or services to people in the EU or monitor their behavior. If you have EU customers, look for data-residency options, a data processing agreement (DPA), and tools to export or delete a person's data on request.
- California (CCPA): It applies to for-profit businesses that meet certain thresholds, such as over $25 million in annual revenue. It gives consumers the right to know what data you hold, delete it, correct it and opt out of its sale or sharing.
This is general information, not legal advice. Check with a qualified professional for your situation.
When an off-the-shelf CRM isn't enough
Most small businesses should start with one of the tools above. A custom CRM starts to make sense when:
- You're paying for features you don't use while hacking around features you do need
- Your process is truly unique (special approvals, industry workflows, bookings plus sales plus operations)
- Per-seat costs are climbing fast as the team grows
- You need your CRM tightly connected to your own app, portal or database

FAQ
What is the best free CRM for a small business?
HubSpot's free CRM (up to 2 users and 1,000 contacts, no credit card) is the easiest to start with. Zoho CRM's free edition supports up to 3 users, and Bitrix24 offers a free plan for 1–2 users. Pick based on team size and which one feels easiest to use.
How much should a small business spend on a CRM?
For a 5-person team, paid plans in this guide range from about $45 to $195 per month on annual billing, and more for advanced tiers like HubSpot Sales Hub Professional. Start with the cheapest plan that covers your must-haves, then upgrade when you hit a real limit.
Is it better to pay monthly or annually?
Annual billing is cheaper (Zoho advertises up to 34% savings, Pipedrive up to 26%, Freshsales about 20%). Pay monthly while you're testing, and switch to annual once your team is committed.
Do I need a CRM if I only have a few customers?
If you can remember every follow-up without effort, not yet. Once you start losing track of leads, forgetting follow-ups, or sharing customer info across people, a free CRM plan pays for itself.
Can I switch CRMs later?
Yes. Most CRMs let you export contacts and deals, usually as CSV files. Check export options during your trial, keep your data clean, and switching will be much easier.
When should I build a custom CRM instead?
When your process doesn't fit standard tools, you're paying for many unused seats or features, or your CRM needs to connect deeply to your own systems. Start with an off-the-shelf tool, learn what you really need, then decide.
The bottom line
- Just starting? HubSpot Free or Zoho's free edition.
- Tight budget, small team? Zoho CRM or Freshsales.
- Sales pipeline is everything? Pipedrive.
- Planning to scale big? Salesforce Starter Suite.
- Bigger team, one flat bill? Bitrix24.
Pick one, start a trial this week with real leads, and give it two weeks. The best CRM is the one that means you never lose another "let me think about it" lead.
